Archy is all-in-one practice management software for dentists — scheduling, insurance processing, clinical notes, treatment planning, and imaging in a single platform. To grow, the marketing team needed a way to reach dental practices that cut through the noisiest direct mail category in B2B.

The challenge

Direct mail that dentists ignore

Every dental practice has a physical front desk — which makes the category a magnet for direct mail. The problem: everyone sends the same postcards. Archy's own test run of 500 postcards returned exactly one demo, a 0.2% hit rate. They didn't need more volume. They needed something practices would actually stop and open.

The play

Coffee, a handwritten note, and an upgrade offer

Archy worked with Roastify to create custom-branded coffee blends in packaging designed around their brand. Each box shipped with a handwritten card inside a nondescript envelope, addressed by hand to the doctor. The hook tied it together: upgrade your practice software, and Archy upgrades your coffee — complete a demo and they'd buy the practice a coffee machine. The whole send was engineered to a strict all-in cost target.

The first send

A ~7% demo rate out of the gate

The first 1,300-box send booked demos at roughly 7% — orders of magnitude beyond their postcard benchmark. More than half of those demos came inbound before the SDR team made a single follow-up call: recipients got the box, scanned in, and booked themselves. One prospect was impressed enough to post the package on Instagram, calling it "awesome marketing."

Scaling up

From experiment to always-on channel

Since the start of the year, Archy has expanded the campaign dramatically — more than 8,000 boxes shipped directly to target practices. Working with Roastify's team, the all-in cost per box was optimized from ~$25 down to roughly $18 shipped, while the demo booking rate has held steady around 7%. What began as a one-off test now runs as a repeatable, month-over-month outbound motion.

Why it worked

Pattern interrupt

Practices sort look-alike 6x9 vendor postcards straight into the junk pile. A box of custom-roasted coffee doesn't match the pattern — it gets opened, passed around the office, and remembered.

Personal at scale

A handwritten note inside a plain envelope, with the doctor's name handwritten on the front. Every box felt individually sent — even across thousands of sends.

Zero-friction response

Each box carries a QR code that takes the recipient straight to demo booking. From doormat to calendar in one scan — no cold call required to convert the warmest prospects.
